Education Services Website & Staff Portal
A public website that brings in bookings, enquiries and newsletter signups, and a custom staff portal behind it where all of it lands: client records, quotations and invoices, mailing campaigns, internal documents and self-hosted website analytics.
Dambudziko
Academic Horizons Holdings had no way to see its own pipeline. Consultation requests arrived by phone and WhatsApp, enquiries sat in a shared inbox, quotations and invoices were built by hand in Word and numbered by memory, the mailing list lived in a spreadsheet, and nobody could say which invoices were unpaid without opening a filing cabinet. Website traffic was invisible, and every tool that might have helped came with a monthly subscription in foreign currency.
Zvatakaita
We built a public website whose forms feed directly into a staff portal designed around how the company actually works. A consultation request submitted on the site appears in the portal with a notification; staff propose a date and the client confirms by email link. Quotations convert to invoices with their own numbering, and client balances come from a ledger that allocates payments oldest invoice first, so the dashboard can name exactly who owes what. Four privilege levels mean front desk, finance and consultants each see only their own work, with edits to issued documents going through an approval queue. Mailing campaigns attach the newsletter PDFs, record who opened them, and run off the site's own signup form. Website analytics are self-hosted, with no third-party tracker on the site at all. The whole system runs on PHP and SQLite with no external services and no recurring licence cost.
Mifananidzo
The booking form and the office now feel like one thing. A request comes in, we propose a time, and the invoice follows from the same screen.
